AI Policy

This AI Policy is incorporated by reference into NexuSphere’s Terms of Service and any Master Software as a Service Agreement. It applies to the extent the Services include or utilize any system, software, tool, or process that performs tasks typically requiring human intelligence — including learning, reasoning, problem-solving, perception, natural language processing, pattern recognition, decision-making, or content generation, whether through machine learning, deep learning, neural networks, or other computational techniques (“AI Technology”).
1. Purpose Limitation
Customer Data processed by AI Technology is used exclusively for the purposes of providing the Services.
2. Prohibition on AI Technology Training
Under no circumstances is Customer Data used to train, fine-tune, or conduct model evaluation, benchmarking, or prompt testing, or otherwise improve any AI Technology — whether during a dedicated training phase, through back propagation, or by any other method.
3. Training Data Representation
Any AI Technology provided as part of the Services has been trained using data sources other than Customer Data.
4. Data Segregation
Customer Data is not commingled with any data belonging to NexuSphere or any third party. Customer Data is stored, processed, and maintained separately to preserve its integrity and confidentiality.
5. Fairness, Bias Mitigation, and Accuracy
NexuSphere designs and operates its AI Technology, including any algorithms, models, or data used therein, to align with principles of human agency and oversight, technical robustness and safety, privacy and data governance, transparency, diversity, non-discrimination and fairness, and social and environmental wellbeing. NexuSphere works to ensure the AI Technology and its outputs remain compliant with applicable laws, equal opportunity, and human rights in any applicable jurisdiction.
6. Ownership
Customer owns all rights and title to inputs, outputs, prompts, and feedback submitted to or generated by the AI Technology, and any derivative works relating to the Services.
7. Legal Compliance
NexuSphere supports compliance with emerging AI laws (including the EU AI Act and U.S. state-level AI/privacy laws), including notifying Customers if AI functionality materially changes — for example, new models or new training practices.
8. Human Review Requirement
All outputs generated by AI Technology within the Services — including any operational intelligence or other AI-assisted platform capabilities enabled under the applicable Order — are recommendations and advisory information only. No AI Technology within the Services takes autonomous action on Customer Data, including creating, modifying, or approving purchase orders, payments, invoices, or general ledger postings, without explicit review and approval by an authorized Customer user. Customer is solely responsible for reviewing and validating AI-generated outputs before relying on them for any business decision.
